How AI Agents Can Automate Business Workflows

An agent becomes useful when it has a specific role and approved tools. “Handle customer follow-up” is too broad. “Draft a reply from these approved records and send it to a person for review” is a workflow that can be designed and tested.

Map the workflow before the agent

Identify the trigger, required information, tools, output, exceptions, and person responsible. This makes it possible to distinguish model reasoning from deterministic rules and to define what must happen when information is missing.

Limit tools and permissions

Give the agent only the systems and actions it needs. Read access and draft creation are safer starting points than deletion, payment, publication, or unsupervised messages. Logs should make actions and failures reviewable.

Test the edges

Representative happy paths are not enough. Test conflicting records, unavailable services, malicious instructions in documents, ambiguous requests, and incomplete data. Expand autonomy only when the evidence supports it.
